Northstar is seeking an Assistant Project Manager – Space Planning & Leasing Administration to support our client’s Global Real Estate & Facilities team. This role blends space planning, occupancy support, lease administration, and day-to-day administrative coordination with core Assistant Project Manager responsibilities, supporting a fast-moving corporate real estate portfolio across office, lab/R&D, manufacturing, and warehouse environments.
The ideal candidate is detail-oriented, organized, and comfortable supporting multiple workstreams, from stacking plans to lease critical dates to meeting logistics and reporting, while building strong relationships across Facilities, IT, HR, EHS, Legal, and Finance. Comfort using AI tools to accelerate research, drafting, and data organization is a plus.

Key Responsibilities:

Space Planning & Occupancy Support

Support space planning and allocation, helping develop and maintain stacking and blocking plans, test fits, and floor programming across office, lab/R&D, manufacturing, and warehouse environments.

Assist with occupancy assignments, headcount forecasting, and seat-to-employee ratios in coordination with HR and business unit leaders.

Help maintain space inventory and floor plan records in Eptura/iOffice, track occupancy and utilization metrics, and support regular reporting and dashboards for leadership.

Move Management

Coordinate internal moves, adds, and changes (MAC), partnering with Facilities, IT, and furniture vendors to help execute relocations with minimal disruption.

Support development of move schedules, sequencing plans, and day-of logistics.

Lease Administration Support

Help maintain a centralized lease database and support abstraction of key terms from executed leases, amendments, and ancillary agreements, including rent, escalations, options, key dates, and clauses.

Support critical date tracking for renewals, expirations, terminations, option windows, and notice deadlines, issuing timely alerts to stakeholders.

Maintain organized digital and physical lease files, ensuring document completeness and version control.

Support recurring and ad hoc reporting on portfolio metrics, including occupancy cost, square footage, lease obligations, and upcoming expirations.

Help track compliance with lease obligations such as insurance certificates, estoppels, SNDAs, and maintenance and use clauses.

Support communications with landlords and property managers on lease-related matters.

Assist with lease negotiations, renewals, and new transactions with data, analysis, and documentation.

Help maintain the lease administration system (Visual Lease) and support documentation of standard operating procedures.  

Administrative & Financial Coordination

Schedule and coordinate meetings across internal teams, client stakeholders, and vendors.

Coordinate and maintain dashboards for space, occupancy, and lease reporting.

Develop presentation decks for leadership and client updates.

Track invoices and support purchase order approvals to help ensure ongoing work is not delayed.

Assist with vendor onboarding through Accounts Payable.

Northstar is seeking a motivated, detail-oriented Real Estate Project Management intern/co-op to support our team in managing real estate development and construction projects. In this role, you will work closely with our project managers and assist in various tasks related to project planning, budgeting, scheduling, and coordination. Potential projects range from small and large commercial tenant interior projects and capital projects for multifamily residential properties to ground-up development projects.

Assist in preparing project budgets and schedules

Attend project meetings and take detailed notes

Assist in coordinating project activities, including procurement, contracting, and construction

Opportunity to interface daily with engineers, contractors, architects, and colleagues on a variety of construction projects

Review and track project documents and reports

Review and interpret plans and specifications
